Planning a Wix Website: A Step-by-Step Process From Brief to Launch

Most Wix projects that run late were never planned properly. Follow this step-by-step process - goals, sitemap, content, design, build, review and handover - to launch on time.

Wix is fast to build on - so fast that many projects skip planning entirely. Someone picks a template, starts dragging sections around and asks for content later. Weeks pass in back-and-forth, pages get added halfway through, the mobile view is an afterthought and the launch date keeps slipping.

A little structure fixes almost all of that. Here is the process we recommend for a Wix website, whether you build it yourself or work with a team.

The process at a glance

| Phase | What happens | Your main input |
|---|---|---|
| 1. Goals | Define what the site must achieve | Business priorities |
| 2. Platform choice | Wix Editor or Wix Studio, plan and apps | Who will edit, which features |
| 3. Sitemap | List every page and its purpose | Services, products, locations |
| 4. Content | Gather and write text, photos, details | Most of the raw material |
| 5. Wireframes | Lay out key pages in rough form | Feedback on structure |
| 6. Design | Apply brand, typography and imagery | Feedback on look and feel |
| 7. Build | Build pages, mobile layouts, forms, apps | Answers to questions |
| 8. SEO and tracking | Titles, schema, redirects, analytics | Keyword priorities |
| 9. Review | Test on devices, fix issues | Final approval |
| 10. Launch and handover | Publish, connect, train | Ownership details |

Phase 1: Set clear goals

Start with outcomes, not pages. Write down answers to these:

  • What should a visitor do? Call, send a WhatsApp message, book an appointment, request a quote, buy online?
  • Who is the main visitor? A homeowner in Jaipur, a procurement manager in Gujarat, an overseas buyer?
  • What do they need to see before acting? Proof of work, service areas, process, location, credentials you genuinely hold?
  • How will you measure success? Enquiries, bookings, orders, calls?

These answers shape every later decision - from the homepage headline to where the buttons sit.

Phase 2: Choose the right Wix setup

Wix Editor or Wix Studio?

  • Wix Editor - simple, visual and ideal if you or your staff will make most changes. The mobile view is managed as a separate layout.
  • Wix Studio - built for professional designers and agencies, with responsive breakpoints, more advanced layout tools and better team collaboration.

Plan and apps

List the features you need - bookings, store, blog, member area, forms, multilingual - and confirm the premium plan supports them. Choose Wix apps deliberately; every app adds something to maintain and can add weight to pages.

Custom features

If you need something Wix apps do not offer - a quote calculator, a dealer locator using your own data, or a connection to your CRM - plan it now. Wix's Velo lets developers add custom code and call external APIs, but it is far easier to design for this from the start. Our API integration team often handles these connections.

Phase 3: Build a sitemap

Make a simple list of every page and what it is for. A typical small business sitemap:

  • Home
  • About
  • Services (overview)
  • One page per main service
  • Work or gallery
  • Blog
  • FAQs
  • Contact

Add location pages only where you genuinely serve those areas and have useful, specific content for each. Agree the sitemap before design starts - adding pages later is the most common cause of scope creep.

Phase 4: Gather and write content

Content is where most projects stall. Prepare it early:

What to collect

  • Logo files in high resolution, ideally vector
  • Brand colours and fonts if you have them
  • Service or product descriptions, with the benefits and details customers ask about
  • Real photos of your team, premises, products and completed work
  • Business details: legal name, address, phone, WhatsApp number, email, hours, GSTIN if needed
  • Answers to your most common customer questions

Writing tips

  • Write for the visitor's problem, not your company history
  • Use short paragraphs and clear headings - most visitors are on phones
  • Include your city and service areas naturally where relevant
  • Avoid claims you cannot back up

If you serve Hindi-speaking customers, decide now whether you need a Hindi version. Wix Multilingual supports multiple language versions, but each needs properly translated content, not machine output pasted unchecked.

Phase 5: Wireframes

Before colours and photos, sketch the layout of key pages - home, a service page, contact. A wireframe answers: what comes first, where the main button goes, how proof and FAQs are arranged. It is much quicker to move boxes on a wireframe than to rebuild a designed page. Good UI/UX design starts here.

Phase 6: Visual design

Now apply your brand: colours, typography, imagery and spacing. Design the homepage and one inner page first, get approval, then roll the style across the rest. Ask to see the mobile design at this stage, not just desktop.

Keep it restrained: two fonts, a small palette and purposeful animation. Clarity beats decoration.

Phase 7: Build

During the build:

  • Pages are created from the approved design
  • Mobile layouts or breakpoints are adjusted page by page
  • Forms are connected to the right email addresses, and to your CRM if needed
  • Click-to-call and WhatsApp buttons are added
  • Apps are installed and configured
  • Lightboxes, menus and footers are finalised

Agree on one feedback channel and one decision-maker on your side. Feedback from five people on WhatsApp, often contradicting each other, slows everything down.

Phase 8: SEO and tracking setup

Before launch:

  • Unique SEO title and meta description on every page
  • Clean URL slugs and one H1 per page
  • Alt text on meaningful images
  • LocalBusiness structured data for local businesses
  • 301 redirects from any old website's URLs
  • Google Search Console and Google Analytics connected, with enquiries tracked as key events

Our Wix SEO checklist covers this phase in detail.

Phase 9: Review and testing

Test like a customer, not like the designer:

  • Open every page on at least one Android phone and one iPhone, plus a desktop
  • Submit every form and confirm the message arrives
  • Tap every phone and WhatsApp link
  • Check spelling, phone numbers and addresses carefully
  • Run key pages through Google PageSpeed Insights on mobile
  • Check that test pages and duplicates are hidden from search engines

Phase 10: Launch and handover

Launch

Connect the domain, publish, submit the sitemap in Search Console and request indexing of key pages. Update your Google Business Profile with the website link.

Handover checklist

  • Wix account and domain owned by your business
  • Collaborators listed with roles, and access removed for anyone who no longer needs it
  • Plan and domain renewal dates noted
  • A short training session on editing text, images, blog posts and products
  • A list of installed apps and any custom code or integrations

After launch

A website is never truly finished. Plan regular content updates, seasonal offers and periodic checks. A website maintenance arrangement keeps things fresh and catches problems early.

Mistakes that derail Wix projects

  • Starting design before the sitemap and content are agreed
  • Treating the mobile view as a final-day task
  • Too many decision-makers giving feedback separately
  • Installing apps without a clear need
  • Forgetting redirects when replacing an old site
  • Letting a vendor own the account or domain

Who does what: a simple responsibility split

Clear roles prevent most delays. Agree this split at the start of the project:

| Task | Business owner | Build team |
|---|---|---|
| Goals and target visitors | Leads | Advises |
| Sitemap | Approves | Proposes |
| Text content | Provides facts, approves | Writes or edits |
| Photos and logo | Provides | Optimises and places |
| Wireframes and design | Gives consolidated feedback | Creates |
| Build and mobile layouts | Reviews | Builds |
| SEO setup and redirects | Shares priorities | Implements |
| Testing | Tests as a customer | Tests every page and device |
| Ownership and accounts | Holds | Uses collaborator access |

Name one decision-maker on the business side who collects feedback from colleagues and sends it in one message. That one habit can save more time than any tool.

Key takeaways

  • Define goals and visitor actions before choosing a template.
  • Choose Wix Editor or Wix Studio based on who will build and edit the site.
  • Lock the sitemap early and prepare content before design starts.
  • Design and review mobile alongside desktop.
  • Launch with SEO, tracking and full ownership in place.

FAQ

Frequently asked questions

The Wix Editor is simpler and suits owners who will edit the site themselves. Wix Studio is built for designers and agencies, with responsive breakpoints, advanced layouts and better collaboration. If a professional team builds and maintains the site, Studio often gives a better result across screen sizes.

Your logo files, brand colours, service or product details, contact information, business hours, photos of your team, premises and work, any certificates you genuinely hold, and the questions customers ask most often. Content is the most common cause of delays.

A small business site with ready content can move quickly, while a larger site with a store, bookings or custom features takes longer. The biggest factors are page count, features, content readiness and how quickly feedback is given.

Ownership of the Wix account and domain in your business name, a list of collaborators and their roles, a short training session on editing, a record of installed apps and integrations, and confirmation that Search Console and Analytics are connected.
